Invoice scanning is the end-to-end process of converting paper or electronic invoice documents into structured, machine-readable data. It covers document capture, OCR or AI-based field extraction, confidence-score validation, and handoff to an AP workflow or ERP system, making invoices available for automated processing without manual rekeying.
How Invoice Scanning Works
A physical invoice enters the process through a scanner or multifunction printer; a digital invoice arrives via email or direct upload. OCR or AI extraction reads the document, pulls structured fields (vendor name, invoice number, line items, and totals), and assigns a confidence score to each value. Fields below the threshold are flagged for human review. Validated data then moves to the AP workflow for three-way match against purchase orders and receipts before posting to the ERP.
Invoice Scanning vs. Invoice OCR vs. Invoice Capture
These three terms are often used interchangeably but describe different scopes. Invoice scanning is the complete input process, from document capture through validated, structured data ready for AP. Invoice OCR is the extraction technology layer inside that process, not a synonym for the whole workflow. Invoice capture is the broader category that includes scanning but also covers EDI feeds, supplier portals, and direct email ingestion. Scanning is one method of capture; OCR is one tool within scanning.
