Invoice capture software is technology that automatically extracts structured data fields, including vendor name, invoice number, line items, amounts, and due dates, from inbound invoices in any format or supplier layout, using OCR, AI, and machine learning, then routes that validated data for exception handling and ERP posting.
How Invoice Capture Software Works
Invoices arrive through multiple channels: email, PDF, EDI, or paper scan. Modern capture software ingests all of them, then applies AI-based field extraction that reads each document's structure on its own terms rather than relying on supplier-specific templates. That distinction matters because template-based OCR breaks every time a vendor updates their invoice layout, resetting touchless processing rates for that supplier back to zero. After extraction, the software validates data against purchase orders or receipt records, flags exceptions for human review, and posts clean, structured data to the ERP.
Invoice Capture vs. Invoice Scanning: What's the Difference?
Invoice scanning converts a paper or fax document into a digital image. That is the start of the process, not the end. Invoice capture software goes further: it extracts structured data fields from the image or digital file, validates them, and hands off clean records to approval workflows and the ERP.
Scanning produces a picture. Capture produces data. Teams still re-keying from scanned images are not running invoice capture; they are doing manual entry on a screen instead of on paper.
