Invoice Data Capture
The automated extraction of key invoice fields into structured digital records, and the first step in AP automation.
Invoice data capture is the automated extraction of key fields from an invoice (vendor name, invoice number, date, line items, amounts, and tax) and the conversion of those fields into structured digital records that an accounting system or ERP can act on. It is the first functional step in any AP automation workflow.
How Invoice Data Capture Works
An invoice enters the system as a paper scan, an emailed PDF, or an EDI feed. The system classifies the document as an invoice and routes it to the extraction engine, where OCR or AI reads and tags each field by type. Those extracted values move to a validation stage, where they are checked against supplier records, purchase order data, or a three-way match (invoice, PO, and goods receipt) before the record is exported to the ERP.
Invoice Data Capture vs. Invoice Processing
These terms appear interchangeably in vendor marketing, but they describe different scopes. Invoice data capture is the extraction event: it ends when structured field data is written to a staging record. Invoice processing is the full downstream sequence that capture feeds into, covering coding, approval routing, and payment. Confusing the two creates real problems when scoping a project, measuring accuracy, or evaluating whether a software's claimed automation covers the full workflow or just the extraction step.
What Invoice Data Capture Replaces
