PO Number

The unique identifier a buyer assigns to a purchase order to track a transaction from approval through receipt and payment.

A PO number is a unique, usually alphanumeric identifier a buyer assigns to a purchase order when it is issued. Short for purchase order number, it tracks a transaction from order approval through receipt of goods and final payment, and serves as the reference point for order tracking, invoice matching, and audit documentation.

How a PO Number Works

When a purchase request is approved internally, the buyer creates a purchase order and assigns it a PO number. That number then travels with the order, and the supplier references the same PO number on the invoice it sends back.

AP uses the PO number to match that invoice against the original order and, for physical goods, against the goods receipt. This completes a three-way match before payment is released.

What a PO Number Looks Like

Format is internal and buyer-defined. Common conventions include sequential numbers (PO-0001), date-prefixed numbers (PO-2026-0042), and department-coded numbers (PO-FIN-0017).

The right format depends on company size, entity structure, and how much searchability the team needs, and consistency matters most for organizations running multiple subsidiaries. One rule is not optional: every PO number must be unique within the system. A duplicate creates duplicate-payment risk.

PO Number vs. Invoice Number

These two numbers are not interchangeable. A PO number is created by the buyer before the transaction, when the purchase order is issued. An invoice number is created by the seller at the time of billing.

Both should appear on a matched invoice. The PO number confirms the purchase was pre-approved, and the invoice number is the seller's own internal reference. An invoice that arrives with no PO number referenced forces AP to research the originating order manually before anything can move forward.
