How Invoice Approval Software Works

An invoice arrives as paper, PDF, or EDI and is captured and coded against the correct GL account. Preconfigured routing rules then send it to the right approver based on dollar threshold, department, or cost center. If the invoice is tied to a purchase order, PO and goods-receipt validation, commonly called three-way matching, confirms quantities and pricing before approval proceeds. When a rule fails or a line item is disputed, exception handling triggers a defined re-routing path rather than leaving the invoice stalled in a shared inbox.

Invoice Approval Software vs. Full AP Automation

Invoice approval software handles the routing and sign-off layer. It assumes an invoice has already been captured and coded, and its job is to move that document through the correct approval chain and record each decision. Full AP automation covers the entire upstream process: OCR capture, line-item extraction, GL coding, PO matching, approval routing, and payment execution as one connected workflow.

Some buyers already have capture functionality inside their ERP and need only the approval layer on top. Others are starting from a fully manual process and need the complete suite. Knowing where your process breaks down determines which scope actually fits.
